Setup Voicemail
You can set up your 3CX voicemail either from your desk phone or through the online Web Client. Both methods are quick and will have your professional greeting ready for callers in just a few minutes.
Before You Begin ✏️
Before starting, you'll need the following information, which is usually in your welcome email from the tech department:
If you can't find this information, please contact the tech department for assistance.
Method 1: From Your Desk Phone
This is the classic way to set up your greeting directly from your classroom or office phone.
Access Voicemail: Lift the handset and dial 999
.
Enter PIN: When prompted, enter your Voicemail PIN and press the #
key.
Go to Options: Listen to the menu and press 9
for "options."
-
Record Greeting: Press 8
to manage your greeting. The system will guide you through recording your message. A good example for a school setting is:
"Hi, you've reached [Your Name] at Clearbrook-Gonvick School. I'm either teaching or away from my desk. Please leave a detailed message, and I will return your call as soon as I can. Thank you."
Save Your Greeting: After you finish recording, press the #
key. Listen to the playback, and if you're happy with it, press 0
to save it.
Your new voicemail greeting is now active!
Method 2: Through the 3CX Web Client
Using the Web Client on your computer gives you more options, like uploading a pre-recorded file.
Log In: Open a web browser and go to the school's 3CX Web Client page. Log in with your extension and password.
Navigate to Greetings: On the left-side menu, click the "Settings" icon (⚙️) and then choose "Greetings."
Choose Greeting Type: You can set different greetings for your status (e.g., Available, Away, Lunch). To set your main message, select the greeting for the "Away" profile.
-
Create Your Greeting: You have three options:
Record: Use your computer's microphone to record a greeting directly in the browser.
Upload: Upload a pre-recorded audio file (like an MP3 or WAV).
Text to Speech: Type your message, and 3CX will create a high-quality audio greeting for you.
Once saved, the greeting will be active whenever your status is set to "Away."
How to Check Your Voicemail
You can easily listen to your messages in several ways:
From your Phone: Dial 999
and enter your PIN.
From the Web Client: Click the "Voicemail" tab to see and play all your messages.
Voicemail to Email: The system will automatically send an email with the voicemail audio file attached, so you can listen from any device.
